How to Fill Out the SWOT Template

  1. 1

    Define your subject

What are you analyzing? A product, a project, a team, a strategic option? Write it at the top so every item you add stays focused.

  2. 2

    List internal factors

Start with Strengths (what you do well) and Weaknesses (where you fall short). Be specific: name concrete capabilities, resources, or gaps.

  3. 3

    List external factors

Move to Opportunities (favorable trends, openings) and Threats (risks, competitive pressure). Look at market, regulatory, and technology changes.

  4. 4

    Prioritize and act

Not every factor is equally important. Highlight the top 2-3 per quadrant and derive concrete next steps: which strengths can you use to capture which opportunities?

  5. 5

    Export and share

Download the result as PDF and share it with your team. A SWOT analysis works best when multiple perspectives contribute.
